Sticky notes

A sticky note is a private, floating note that follows you everywhere in Gript, like a Post it stuck to the corner of your screen. It belongs to you, not to a board or an item, so as long as it stays unlinked it is there no matter which board, view, or page you are on. (Linking a note to an item changes this: see Section 7.) This guide covers creating and editing notes, colors and formatting, reminders, the meeting clock, linking to an item, sending a note to a teammate, and the small housekeeping moves (minimize, lock, group, rotate).

What is a Sticky Note?

In plain English: a private note that floats above the whole app, always with you.

A sticky note is a small, movable, resizable note that sits on top of whatever you are looking at in Gript.

What that meansIn practice
It follows youAny board, any view, any page, as long as the note is not linked to an item.
It is privateNobody else in your workspace sees your notes. There is no shared sticky layer.
It is for you, not the teamQuick personal capture, not content the rest of the team needs.

Only you see your notes. There is no shared sticky note layer for a board or workspace.
Follows you everywhere
Unlinked notes float above every board, view, and page. Once you link a note to an item, it only shows while that item is open (see Section 7).
Rich and flexible
Rich text, colors, images, checklists, reminders, and a meeting clock, all inside one small note.

Think of sticky notes as your own personal corner of the app: quick reminders, meeting scratch notes, things to follow up on, that do not belong on a board as a real item.

Creating and Opening a Note

One icon in the top bar controls everything: new notes, showing and hiding, and notes sent to you.

Click the sticky note icon in the top bar
It opens a small popover: a New button, your My Notes list (with per-note show and hide toggles), and any notes a teammate has sent you that are waiting to be placed.

Click New, or press Alt+N
A note appears at a semi-random spot on screen, already open for editing. Alt+N does not un-hide notes you have hidden; it only adds a new one.

Pick a color and start typing
Click the palette icon in the note's header to choose a color, then click into the body to type. The note auto-saves as you type.

Available colors: Yellow, Pink, Blue, Green, Orange, Purple, White, and Cyan. Pick one at creation and change it anytime from the palette icon in the note's header.

Editing a Note

Double-click a note to edit it. A formatting toolbar appears along the bottom.

Double-click anywhere on a note (outside its header and edges) to enter edit mode. Click outside the note, or press Escape, to save and exit. The toolbar along the bottom of the note offers:

Font
Choose from 13 fonts: the default (Segoe UI), sans-serif, serif, monospace, and handwritten styles like Caveat and Kalam.
Bold, italic, underline
Standard text formatting on the current selection.
Text color
A palette of 16 preset colors, from neutrals to warm, cool, and rich tones.
Headings
Turn the current line into a paragraph, H1, H2, or H3.
Highlight
8 preset highlight colors, plus a Remove option to clear one.
Alignment
Left, center, or right, for text. The same control aligns a selected image instead when one is selected.
Vertical alignment
Top, middle, or bottom, applied to the whole note at once (not per line).
Lists and checklist
Bulleted lists, numbered lists, and a checklist (task list) with checkable boxes.
Zoom
Zoom in and out change the font size of a text selection, or the whole note when nothing is selected. Reset zoom returns to the default size.
Images
Paste a screenshot or drag an image onto the note (1 MB max). Drag its corner handles to resize, and use alignment to position it.

On a narrow note, less common toolbar buttons (vertical alignment, lists, zoom) collapse into a ··· overflow button so the toolbar never overruns the note.

The Note Header

Link to itemSearch or browse for an item to attach to this note. Once linked, the header shows the item name with an unlink (X) button.
ReminderOpens the reminder picker: quick time slots, a custom time, and which channels to notify you through.
PinToggles a small pin marker on the note, a visual flag you can use however you like.
LockLocks the note so it cannot be dragged or clicked into edit mode by accident. Click again to unlock.
DuplicateCreates a copy of the note, offset slightly so it does not sit exactly on top of the original.
MinimizeCollapses the note into a compact form. See Section 8.
DeleteRemoves the note immediately. There is no confirmation step.

Delete has no confirmation. Clicking the X removes the note right away. Duplicate first if you are not sure.

Reminders

Any note can carry a one-time reminder. Click the bell icon in its header.

The reminder picker offers quick 30-minute time slots, a 5-second demo option, and a custom HH:MM field. Choose which channels notify you when it fires:

Email
Sent to your inbox. Off by default.
Bell notification
Shown in the app's notification bell. Off by default.
Alarm sticky note
Auto-creates a new, shaking sticky note near the top-right of your screen when the reminder fires. On by default.

Cancelling oneOpen the reminder picker again and choose Clear reminder.

Reminders fire once. Sticky notes do not support recurring reminders. For something that repeats on a schedule, set a recurring template on a board or a reminder on a notebook page instead.

The Meeting Clock

Turn any note into a live clock for watching the time while you take notes.

Click the clock icon in a note's header and the note splits in two: a live wall clock on top, your editable notes below. It is meant for keeping an eye on the time during a meeting while you type notes in the same place.

The dividerDrag the thin line under the clock up to shrink the clock and reveal more text, or down to make the clock bigger. Your choice is remembered for that note.

Both figures are local to your screen. Nothing about the clock ticking is shared with anyone else.

Linking to an Item

Attach a note to a specific item so it becomes a quick reference to what it is about.

The header then shows its name as a small label, with an X beside it to unlink.

The label is a reminder of which item the note belongs to, not a button: clicking it does not open or jump to the item. It suits a "remember to follow up on this" note that should stay tied to the thing it is about.

Linked notes do not float everywhere. Once you link a note to an item, it is hidden from the general canvas and only reappears while that item's detail panel is open. Unlike an unlinked note, it does not follow you across every board, view, and page. Click the unlink (X) button next to the item label to make it a free-floating note again.

Worked example: a note that reads "Tomorrow: check in with Sarah" linked to the Onboarding spec item. The item name shows right in the note, and the note surfaces whenever you open that item.

Sending a Note to Someone

Push a copy of a note to a teammate, silently or as an interruption.

Click the send icon (a paper airplane) in a note's header to open the Send Sticky Note modal. Search for one or more workspace members, then choose a delivery mode:

Silent
The note lands as a badge only. The recipient opens it from their sticky notes popover when they are ready.
Interrupt
The note appears on the recipient's screen immediately, centered, so it is hard to miss.
When you send a noteWhat happens
They get a copySame content, same colour, same size as yours.
Your note is untouchedIt is not moved or altered.
Sent silentlyIt waits as a pending item in their own sticky notes popover until they place it on their canvas.

Minimizing Notes and Choosing a Look

Collapse a note down so it stays on hand without taking up space.

The note animates down into a compact form: it shrinks while the old and new looks crossfade.

Pick one of three minimized styles. Your choice applies to all of your minimized notes at once and is remembered.

A minimized note always keeps its own color, and its edge, tick, or shadow accent is a distinct, vibrant color per note, so several minimized notes are easy to tell apart at a glance.

Moving, Resizing, Rotating, Grouping

A note behaves like a physical piece of paper you can pick up, turn, and stack.

The Sticky Notes Popover

The hub for every note you own, reached from the top bar icon.

Hiding is not deleting. A hidden note stays saved; hiding just tucks it out of view so it is not cluttering your screen. Toggle it back on anytime from the popover, or press Alt+S to show or hide everything at once.

Keyboard Shortcuts

A handful of shortcuts speed up the notes you use most.

Quick answers to what people ask most.
Can anyone else see my sticky notes?
No. Notes are private to you. There is no shared sticky note layer for a board or a workspace.
What colors can a note be?
Eight colors: Yellow, Pink, Blue, Green, Orange, Purple, White, and Cyan. Pick one at creation from the palette icon, and change it anytime the same way.
Can reminders repeat?
No, a sticky note reminder fires once. For a repeating pattern, use a recurring template on a board, or a reminder on a notebook page.
What happens when a reminder fires?
The countdown badge changes to Now!, and an overlay with a Stop Reminder button appears on the note. Depending on the channels you chose, you may also get an email, a bell notification, and a new alarm sticky note near the top-right of your screen.
Can I send a note to a teammate?
Yes. Use the send (paper airplane) icon in the note's header, pick recipients, and choose Silent (badge only, they open it when ready) or Interrupt (appears on their screen immediately).
What is the meeting clock for?
Click the clock icon in a note's header to split the note into a live wall clock (Analog, Dark, or Light face) on top and your editable notes below, useful for watching the time during a meeting while taking notes in the same place.
How do I make several notes move together?
Select 2 or more (Ctrl/Cmd click each one) and press Ctrl+G, or right-click and choose Group. Clicking any note in a group auto-selects the rest.
How do I hide a note without deleting it?
Use the eye icon next to the note in the sticky notes popover (top bar icon), or Alt+S to hide or show every note at once. Hidden notes are kept, just tucked out of view.
Can I attach a note to a specific item?
Yes. Click the link icon in the note's header, search or browse to the item, and pick it. The header then shows the item's name as a small label with an unlink button. The label is a reminder only: it is not clickable and does not jump to the item. Note that a linked note no longer floats everywhere. It is hidden from the canvas and only reappears while that item's detail panel is open.
Is there an undo for deleting a note?
No. Clicking the delete (X) button removes the note immediately with no confirmation step. Duplicate a note first if you are not sure you want to remove it.
