What Is Financials?
Gript's financial features connect item-level cost tracking with workspace-wide rate management and project profitability reporting. The three pieces are designed to work together but can also be used independently.
The three financial piecesWhat each does
The Spending columnThe actual cost of each item, read-only: logged billable hours multiplied by each person rate, calculated as time is tracked. There is nothing to type in.
Billing ratesSet in Control Panel. A billable rate and a cost rate per person.
P&L by ProjectCombines the two, using billable hours against the billing and cost rates to give revenue, cost and margin per board.

Each tool serves a distinct purpose. You can use them individually or together for full financial visibility.
Spending Column
A read-only column you add to any board (under Time & Dates). It shows the actual cost of each item: logged billable hours × each person's rate, calculated automatically. No cap and nothing to enter, it fills in as time is tracked. Requires the Financials feature and rates.
Billing & Cost Rates
Set per-person hourly rates in Settings → Rates (Admin only). A billable rate is what you charge clients. A cost rate is what the person costs the company. Rates feed into the Spending column and P&L calculations automatically.
P&L by Project
Found in Resources → P&L by Project tab. A table showing allocated hours, billable hours, revenue, cost, margin, and margin % per board (project). Based on billable hours × billing/cost rates.
3
Setting Up Billing & Cost Rates
Billing rates are set once by an Admin and apply workspace-wide. Board-specific overrides are also possible. Rates are required for P&L calculations to work.
Board, the budget chip on a group
1
Navigate to Settings → Rates (found in the Billing and Finance section, identified by a green DollarSign icon). You need Admin access to see this section.
2
The Hourly Rates page lists all active workspace members. For each person, enter their Billable Rate (what you charge clients per hour). Optionally enter their Cost Rate (what they cost the company per hour). Click the eye icon to show/hide cost rates for privacy.
3
Click Save Changes when done. A toast confirms how many rates were updated. Rates take effect immediately for P&L calculations.
Cost rates are optional. If a cost rate is not set for a user, the P&L Cost column for that person shows $0. Fill in cost rates to get accurate margin calculations. Toggle the eye icon in the rates table to show or hide cost rates for your team.
4
The Spending Column
Adding a Spending column to a board shows the running cost of each item, calculated from logged hours and rates. It is read-only: there is nothing to set per item.
1
On any board, click + at the end of the column header row. Under Time & Dates, select Spending. A read-only column appears; each cell shows a muted dash until time is logged.
2
As people log billable time on an item (via the Time Tracking column or a timer), Gript multiplies those hours by each person's billable rate and shows the total in the cell, with the hours beside it when the column is wide enough.
3
If billable time is logged but no rate is set for the person, the cell shows a Set rate prompt that links straight to Settings → Rates, so you fix the gap instead of seeing a misleading $0.
4
Prefer to type hours instead of tracking time? In the column settings, set Hours source to a Number or Formula column. Gript then multiplies those typed hours by the assigned person's rate.
5
Budgets, and watching them fill up
A cap on a board, or one per project.
A budget answers the question the Spending column raises: spent out of what? Set one and you get a bar that fills as the work is done, shading from green towards red.
A budget can be either kind:
Fixed amount
A sum of money in the currency you choose. Right for a quoted job.
Hourly cap
A number of hours. Right for a retainer or a block of days.
On a board in project modeHow budgets behave
Each projectCan carry its own budget, and shows its own chip.
By defaultA project inherits the board budget.
Anything you set on the projectOverrides it, so you only fill in the ones that differ.
The breakdown underneath adds up what has been allocated to individual tasks, what has been spent, and what is left unallocated, and warns you when the task budgets between them exceed the budget above.
The spend bar is fed by logged billable time, so it works even with no Budget column on the board. Add a Budget column when you want to allocate the money task by task as well.
6
Where Spending Gets Its Hours
The Spending column works out cost as hours × rate. You choose where those hours come from in the column settings: logged time, or a Number or Formula column you fill in yourself.
Time Tracking (default)
The cost adds up from logged billable time. Each entry's hours are multiplied by that person's billable rate. This is the default: as soon as someone tracks billable time on the item, the cost appears in the cell.
A Number or Formula column
Rather than tracking time, point the Spending column at a Number or Formula column that holds hours. Gript multiplies those typed hours by the assigned person's rate. Useful when you estimate hours up front instead of running timers.
Spending is read-only. Unlike a typed budget, there is no cap to set and no cell to edit. The number is calculated for you and updates when the board reloads, reflecting whatever time (or typed hours) has been recorded.
In manual hours mode, one rate is used. When Spending reads a Number or Formula column instead of tracked time, Gript does not know who did the work, so it charges the rate of the first assignee who has one set. That is fine on a task with a single assignee, but on a task shared by several people the cost reflects only that one rate. Use the manual hours option on single-assignee tasks for an accurate figure.
7
P&L by Project
The P&L by Project table shows financial performance per board in the selected date range. It requires billing and cost rates to be set in Settings → Rates.
Navigate to Resources in the left sidebar. Switch to the P&L by Project tab. Select a date range at the top. The table updates to show each board (project) as a row.
Amounts based on the hours logged × each person's billing and cost rates.
P&L is built from logged hours, not estimates. The calculation is: Revenue = billable hours × billable rate, and Cost = hours × cost rate (billable, plus non-billable when that option is on). Margin is revenue minus cost. If no time is logged, or if billing rates are not set for the people involved, the Revenue and Cost columns show $0. Make sure both are in place before relying on this data for financial decisions.
Two settings change how P&L adds up. In Control Panel > Resource Management (Owner only), a Currency mode chooses how rates in different currencies are handled: Single currency reads every team rate in the workspace currency as-is, while Convert to account currency takes rates entered in other currencies and converts them for you. A separate Count cost on non-billable work toggle decides whether labour on tasks marked non-billable still adds to the Cost column, or contributes nothing.
Profit & Loss
Maps a revenue column and a cost column and shows the margin.
Portfolio Financials
The same across several boards at once.
Both show the change against the previous period, so you see the direction as well as the number.

Common Questions
Frequently asked questions about the Financials features.
The P&L table shows $0 for Revenue and Cost. Why?
P&L is calculated as billable hours × rates. If either input is missing, the result is zero. Check: (1) Has any time actually been logged on the boards in the selected date range? (2) Are billing rates (and cost rates) set for the people involved in Settings → Rates? Both are required.
Can I set different billing rates per project (not just per person)?
Yes, partially. Settings → Rates sets default workspace-wide rates per person. Board-specific overrides can be set in board settings. This lets you assign a different rate for a specific person on a specific board, overriding the workspace default for that project only.
Can I edit the Spending value in a cell directly?
No. The Spending column is read-only. It shows the actual cost calculated from logged hours (or the hours in the Number/Formula column you pointed it at) times each person's rate. To change it, log time, adjust the hours, or update the rate, not the cell itself.
The Spending cell says "Set rate". What does that mean?
Billable time has been logged on the item, but the person who logged it has no billable rate set, so Gript cannot work out a cost and shows a Set rate prompt instead of a misleading $0. Click it to open Settings → Rates and enter that person's rate; the cost then appears.
Can I change the currency the Spending column shows?
The Spending column defaults to USD and has no per-column currency setting. The currency used across your financials is the workspace currency, set by an Owner in Control Panel → Resource Management. P&L calculations use that single workspace currency; amounts are shown in it without conversion.
Where do I set a budget?
On the board, or on a project when the board runs its groups as projects: click the budget chip. Choose a fixed amount or an hourly cap, and leave Inherit from board on for any project that should follow the board.
Do I need a Budget column to see spend?
No. The spend bar is calculated from logged billable time. A Budget column is only needed when you want to allocate a budget to individual tasks.
What does Over-allocated mean?
The budgets you have put on individual tasks add up to more than the project or board budget above them. Gript shows by how much.
